My client, a mid sized law firm based in the City, is currently seeking a Legal Secretary to support a Partner and their team within Estates and Private Property

The successful candidate will have extensive legal secretarial experience in a similar team and will have ideally had exposure within the following areas:

  • Sales and purchases.
  • Property and portfolio management (UK and overseas).
  • Mortgages and lending.
  • Rural and agricultural affairs.
  • Auctions and tenders.
  • Property development.
  • Property related taxation.
  • Property litigation and dispute resolution.
  • The chosen candidate will be extremely organised, motivated and proactive, displaying outstanding attention to detail and the ability to multitask with ease.

Responsibilities:

  • High levels of client liaison, contact and interaction.
  • Dealing with and screening calls, delivering a positive client experience.
  • Acting as liaison for clients and colleagues who interact with the partner.
  • Proactive management of partners workloads.
  • Providing PA support, managing files and correspondence.
  • Highly proactive and responsive diary management as well as preparing reports and presentations.
  • Organising lunches, making travel arrangements, scheduling meetings as well as preparing materials for conference events and seminars.
  • Management of emails/correspondence, as directed.
  • Copy typing, drafting letters and responses (often without supervision).
  • Document amendments, formatting and proofreading.
  • Providing full secretarial and administrative support.
  • Building and maintaining knowledge of clients and their matters and the work in general.
  • Ensuring that files are kept up to date.
  • Dealing with time sheets.
  • Assisting all members of the department where possible.
  • Ability to work to tight deadlines and often under pressure when transactions have to be completed in a short period of time.

Education and Qualifications:

  • Formal secretarial training is desirable but not essential.
  • Experience of working in a City/ West End law firm in a similar department.

Skills and Experience:

  • Strong client relationship skills.
  • Extensive diary management, planning and organisational skills.
  • Advanced knowledge of Word, Excel, PowerPoint, Outlook and Internet.
  • Fast, accurate typing with good grammar and spelling.

  • Proactive team player with an enthusiastic manner, who takes a flexible, ‘can-do’ approach to work.
  • Confident in working autonomously/independently to meet ever-changing deadlines.
  • Superb communication and presentation skills.
  • Excellent telephone manner.
  • Possess the ability to deal with confidential information and exercise discretion.
